AI tools, SaaS and automation: choosing without getting it wrong.

We do not publish a ranking of tools. The landscape changes every six months, and a figure-based comparison that cannot be backed up turns against whoever publishes it. What does not go out of date is the method for deciding.

THE METHOD

Five steps, in this order.

1. Start from the task, never from the tool

The useful question is not “which tool should I buy” but “which task costs me the most, and does it repeat?”. A rare task, or one that changes every time, cannot be automated — it gets documented. Disappointments almost always come from a tool bought before this question was asked.

2. Check where the data goes

Before anything else: what the tool keeps, where it hosts it, whether it uses it to train its models, and what happens when you cancel. A professional contract answers these four questions. If it does not, it is not a business tool, whatever its price.

3. Count the real cost, not the subscription

The advertised price is the smallest part of the bill. Add the setup time, training your teams, migrating what already exists and the cost of leaving. A tool at thirty euros a month that needs two days of configuration costs more, in the first year, than one at a hundred.

4. Measure on a limited scope

One month, one team, one task, one indicator decided in advance. Without a comparison point taken beforehand, you will never know whether the tool produced a gain or whether you simply changed habits.

5. Roll out, or stop

Both outcomes are good. What costs money is the half-deployed tool that nobody dares to stop: it consumes a subscription, fragments usage and takes the place of a solution that would work.

GETTING YOUR BEARINGS

Six families of tools, and what they really cost.

General-purpose assistants

Writing, summarising, rephrasing, document analysis. This is where value arrives fastest, and also where sensitive data leaves most easily without anyone thinking about it.

Automation and tool connection

Linking what you already have — email, spreadsheet, CRM, invoicing — to remove re-keying. The gain is rarely spectacular, but it is daily and it adds up.

Document extraction

Invoices, contracts, minutes: turning paper or PDF into usable data. Requires human checking on a sample, lastingly and not only at the start.

Image and sound generation

Useful in communication. Beware of commercial usage rights, which vary from one provider to another and change often.

Vertical business tools

Designed for a specific sector. Often more expensive and less flexible, but they spare you the configuration — and sometimes that is exactly the right calculation.

Models hosted on your own infrastructure

Relevant when data cannot leave. The cost shifts from the subscription to infrastructure and in-house skills.

AUTOMATION

SaaS and AI automation: where to start.

Automating with SaaS tools and AI means linking the software you already use — email, spreadsheet, CRM, invoicing — and handing the steps that involve reading or writing to an AI model. The method stays the same, applied to each link in the chain:

  • A task that repeats. Sorting emails, re-keying invoices, preparing a report. A task that changes every time cannot be automated: it gets documented.
  • Every tool in the chain sees your data. An automation passes your data from one service to another: what the tool keeps, where it hosts it, whether it uses it to train its models and what happens when you cancel must be checked for each one.
  • Human checking of what the AI produces. On a sample, and lastingly: a wrong summary or a badly extracted piece of data spreads to everything downstream in the chain.
  • An indicator decided beforehand. The time spent on the task, measured before automating. Without this comparison point, it is impossible to say whether the automation saves anything.
  • An exit planned. If one of the tools changes its terms or its price, the whole chain depends on it: know how to replace it before you depend on it.

To learn to do it yourself, without technical skills: our 21-hour bootcamps (€990 VAT-exempt, fundable by the company’s OPCO, the French employer-funded training bodies) “AI applied to administrative management” and “AI applied to operations: AI agents”. Bootcamps are taught in French, in France or in a virtual classroom.

WHAT WE SEE MOST OFTEN

Three mistakes that cost a lot.

  • Piling up subscriptions. Three tools doing the same thing in three teams, nobody knows, and the annual bill exceeds that of a single well-chosen solution.
  • Automating a broken process. Automation speeds up what exists, including the errors. Get the process back in shape first.
  • Training after deployment. The tool arrives, nobody uses it, and the conclusion is that it does not work. The reverse order gives opposite results.

Sorting it out for your specific case.

This method is general; your context is not. We look at your tasks, your data constraints and what you already have, then tell you what is worth doing — including when the answer is “nothing for now”.

FAQ

Automation, SaaS and AI: your questions.

What is SaaS automation with AI?

It means linking online software (SaaS) that the company already uses — email, spreadsheet, CRM, invoicing — to remove re-keying, and handing the steps that involve reading or writing to an AI model: sorting, summarising, extracting, preparing a reply. The gain is rarely spectacular, but it is daily and it adds up.

Where do I start to automate with SaaS tools and AI?

With the task, never with the tool: choose a task that repeats and costs you time, check where the data will go at each step, then measure on a limited scope — one team, one task, one month, an indicator decided in advance — before rolling out.

What is the best AI SaaS tool?

We do not publish a ranking and do not recommend any tool by name: the landscape changes every six months. The right tool is the one that handles your task, whose contract says where your data goes, and which costs less, setup included, than the time it saves.

SaaS or a tool hosted on your own infrastructure: which should I choose?

A SaaS can be set up without infrastructure, but your data passes through the provider and you depend on its terms. A model hosted on your own infrastructure is justified when data cannot leave; the cost then shifts from the subscription to infrastructure and in-house skills.

How do I learn to automate with AI?

Our 21-hour bootcamps (€990 VAT-exempt, fundable by the company’s OPCO) apply AI to administrative management, marketing, management and operations, with AI agents; no technical skills are required. They are taught in French. For a specific project, we first look at your tasks, your data constraints and what you already have.
